Wedding Venue Search: Are You Asking the Right Questions?

Before falling in love with a space, there are a few important questions worth asking to make sure it aligns with your vision, priorities, and the experience you want to create.

Is there a weather plan?

If you’re dreaming of an outdoor ceremony and/or reception, ask the venue what happens if the weather doesn’t cooperate. Is there an indoor alternative, a covered space, or a tent option? And who makes the final call if you need to move things indoors?

It’s also worth asking when that decision needs to be made (day before? morning of? an hour prior?) and whether there are additional fees associated with a backup plan. Ask whether the backup location offers similar natural light, enough space for your guest count.

PHOTO POV: Your backup plan matters just as much as your original vision. Lighting, available space, and the overall setting can look very different indoors, so it’s worth knowing what your photos might look like if the weather takes an unexpected turn.

Do they require you to hire certain vendors?

Ask whether you’re free to choose your own vendors (i.e. planner, florist, caterer, entertainment, etc), and if so, who is on that list? You’ll also want to clarify whether outside vendors are subject to additional fees, insurance requirements, or other restrictions.

PHOTO POV: Your vendor team plays an important role in how you feel on the wedding day, and the moments leading up to it.

Do they provide on-site getting ready?

Your getting-ready space is where your wedding day begins, and it’s worth considering just as carefully as your ceremony and reception locations. Ask whether the venue offers a space dedicated for bride & groom and your wedding parties, what time you can access them, and how many people it comfortably accommodates.

Look into what’s included too: are there mirrors, seating, private bathrooms, garment racks, and enough outlets for hair and makeup? Is there natural light?

PHOTO POV: These details can make a difference in how relaxed your morning feels.

Do you have the venue for the whole day?

Ask exactly when your rental period begins and ends, and whether that timeframe includes your vendors’ setup and breakdown. You’ll also want to know whether there are additional fees for early access, extending your reception, or staying later than planned.

PHOTO POV: Having access to the venue allows for more flexibility and avoids everything feeling rushed.

What is the typical flow of movement around the venue on wedding day?

Ask the venue coordinator to walk you through a typical wedding timeline, from getting ready and the ceremony, to cocktail hour, dinner, and dancing.

Will guests need to travel between separate buildings or outdoor areas? Is there a convenient location for cocktail hour while the reception space is being prepared? Are there long walks, stairs or accessibility considerations?

PHOTO POV: The layout of your venue will influence how your day naturally unfolds. When spaces are thoughtfully connected, you can spend less time traveling between locations, and more time enjoying your weddings & guests.

Do they have a noise ordinance?

Some locations have specific sound limits, require amplified music to end at a certain time, or ask DJs and bands to move indoors after a designated hour.

PHOTO POV: this doesn’t affect photo lol

Is it a public space? Do they host more than one event in a given day?

If privacy and an intimate atmosphere are important to you, this is a question worth asking early.

Ask whether your rental includes exclusive access to the entire property or specific spaces. If the venue is open to the public, ask which areas will be accessible to other visitors during your event.

PHOTO POV: A shared venue can mean other couples, guests or visitors are using the same spaces you’ve envisioned for your portraits.

You don’t have to have everything figured out on your own.
